A site survey is simply an AV information list for the pre production of a meeting or event. You will find this very helpful during the process of planning your event. I have included a simple version that should help you with a basic corporate meeting. Feel free to copy it and put your logo on it, that is what I did.
Managing non professional presenters.
A number of years ago, I worked on a project touring the country and working with non professional presenters at each event. Part of the project required us to video tape the presentations. We brought in cameras and lights to record the events. One of the problems we had was the presenters always wanted the lights turned down. We would turn them down as low as we could and still make a nice video picture, but the presenters still complained. About half way through the events, I stared sending our what I called presenter profiles. These forms asked the presenters a number of questions from do you need a laser pointer to what kind of drink would you like. We worked very hard to do everything we could to make the presenters comfortable on the stage. To our surprise, they stopped complaining about the lights. We realized that they were not saying the lights are to bright, but were saying I am uncomfortable up here. Make your presenters as comfortable as possible.
